Arranging a bespoke tour
When you book your bespoke tour with Ashby's Europe we begin
a highly personal process that reflect your personal travel
style, taste, and time restraints and matches them up with
our huge network of colourful local people and guides and
charming Hotels and Inns throughout Europe. This does take
considerable effort on our parts, and a cancellation by you
would involve us in expenses, many of which we would not be
able to recuperate. We have therefore devised the system below
to get you on the road towards the high quality, personalised
vacation that you deserve.
Initial contact
We prefer the telephone, old fashioned perhaps, but infinitely more personal and through speaking person to person it is easier to get a feel for what it is that you really want. However, time differences create problems. So, if it is easier, use the bespoke tour design form at the bottom of this page to sketch out what travel plans you have in mind. We will then put together an initial outline itinerary, possible places to stay, and anything else that we feel would add enjoyment to your vacation. An approximate price would also be included.
Tour Development Fee
In order to progress to the next stage and fully commit all
Ashby's Europe resources to the realisation of your trip a
non-refundable Tour Development Fee of £250 ($500) is required.
This is payable by cheque in your local currency and will
count towards your final balance.
Group Deposit
Once the tour itinerary has been satisfactorily fine tuned
and approved, a deposit of £125 ($250) per person is
required: this also counts towards the final balance.
Price
The tour cost is based on the number of participants and the itinerary: late alterations to the group's size, arrival and departure dates, and/or the itinerary will incur additional costs.
Paying your balance
The balance of the tour cost is due no later than 90 days prior to departure.
Cancellation & Refund Policies
If you cancel a booking the following cancellation fees apply:

| 31 - 60 days | 50% of the tour price per person |
| 15 - 30 days | 75% of the trip price per person |
| 0 - 14 days | No refund |
N.B. Exceptions to this policy, including weather and personal emergencies, cannot be made for any reason. Refunds will not be made for late arrival or early departure from a trip. Refunds for transfers and rented equipment is only given if Ashby's Europe is informed at least 21 prior to the trip departure date. If Ashby's Europe should cancel a trip within 30 days of departure due to force majeure a full refund less deposit will be made. Ashby's Europe is not accountable for any expenses relating to preparation for a cancelled trip.
Security
For your financial security and peace of mind the money you pay for your vacation is deposited into a Client Trust Account and is only released to Ashby's Europe after your vacation has been completed. This is in full compliance with the 1992 European Community Package Travel Directive.
Insurance
We strongly recommend that you take out medical cancellation and travel insurance. A health certificate is required for those over sixty years of age on activity tours.
